Course Cancellations

Member Cancellation Policy: Cancellations for your course must be received at least 14 calendar days before the course start date, or the previous working day if this falls on a weekend. Cancellations received after this time will result in a ‘late cancellation’ fee and a loss of training days for your company, unless your company can find a replacement internally. It is imperative that you inform us directly, as well as your Company Administrator, about any cancellations.

Pay-As-You-Go (PAYG) Cancellation Policy: For a PAYG booking, cancellation must be received at least 30 calendar days prior to course commencement. A full refund, minus the registration fee, will be provided. Refunds will not be given if cancelling 30 calendar days or less prior to course commencement. Any participant booked on a course may be substituted for another participant at any time prior to the course commencement date, subject to written confirmation from both booking company and RPS and if payment has been received in full.



Classroom Courses

If you do not have a replacement, and should there be a waitlist, RPS will then try to fill the released slot. It is imperative that you inform us directly, as well as your Company Administrator, about any cancellations.

Travel & Accommodation 

Please refer to your course page for further information and check course timings before booking any flights.

Travel to and from classroom courses and booking of accommodation is the responsibility of the participant and please note that reservations and payment must be made through your own company. Hotel details will be provided in the Course Joining Instructions however if you need to make arrangements before these are issued then please contact the Event Coordination Team for details.

Visas

If you require a Visa to attend the course, it is advisable to start your application as soon as possible, as Visas can take many months to issue. RPS can provide you with visa application support for further details please refer to the learning hub (e.g. Letters of Invitation). An email will be sent to you including the letters in PDF format. If you require visa letters, please complete all sections of the attached Registration Form and return it to us as soon as possible. 

Please be aware that you may also need a transit visa as part of your travel itinerary. RPS is unable to offer advice on visas but this information can be obtained from the relevant embassy. It is the participant's responsibility to ensure that they have the correct documentation to enter the country.



Field Courses

Logistics

RPS arranges all field trip logistics, including hotels, group subsistence, infield travel. Please note that this excludes your travel to and from the field course location. Travel arrangements outside of the course dates (vacation, other company business) are at the discretion of your company but please also let us know about these.

Flights

Your complete flight itinerary is required by your Event Operations Coordinator no later than 6 weeks before the course start date. 

It is advisable to check course timings and travel requirements before booking any flights. Please refer to the Travel Information section below.

Health and Safety Requirements

Please complete your Health Care, Personal Accident and Travel Insurance Information Form (IIF1) as soon as possible and return to your Event Operations Coordinator. This form is available from your Company Administrator. 

What is a IIF1? This form provides RPS with all the information we will need in regards to your company health insurance, repatriation insurance, and 24-hour emergency contact details. Participants should ensure that they have adequate travel insurance that they require.

Please note you will be required to complete a medical information and emergency contact form prior to attending any field course

Visas

Visas can take many months to issue, so early application is advised. RPS can provide you with visa application support (e.g. Letters of Invitation). Field Course Physical Demand

Participants will get the most benefit from a field course if they are comfortable with the physical demands of the course. 

The Physical Demand Level and a brief description of the conditions likely to be encountered are indicated on the Course Outline. 

All RPS field courses have been assigned one of three Physical Demand Levels (low, moderate, high). 

Personal Field Equipment

Guidance on required personal field equipment can be found here.

Family Policy

RPS policy does not allow spouses or other family members to attend or be present during a field course.
